About Millie

Millie is a new kind of maternity clinic built by moms and care providers who’ve been there. We are reimagining the hospital-based U.S. maternity experience with a tech-enabled OB/Midwifery clinic model extended with virtual care and remote monitoring. We aim to provide more complete, continuous, inclusive, and empowered to create better outcomes and experiences – from conception through the first year of parenthood. Millie’s maternity and gynecology services are covered by all major insurance plans including Medi-Cal.

About the role

As a Front Desk Associate, you will be the first point of contact for patients, providing administrative support, scheduling, answering phone calls, and handling various office duties. The Front Desk Associate plays a vital role in ensuring a smooth, welcoming, and efficient patient experience. In addition, this role includes cross-training for basic back-office responsibilities within the scope of a clinical support role.

Your responsibilities:

  • Maintain front desk operations, including managing the reception area, answering and triaging phone calls, and supporting scheduling and administrative needs
  • Welcome patients and visitors at the front desk, provide excellent customer service in person and over the phone, and ensure calls are answered and routed promptly
  • Oversee daily operations and ensure the clinic runs efficiently
  • Ensure patient check-in and check-out processes are efficient and thorough
  • Provide clinic support by assisting with referrals, prior authorizations and patient scheduling needs
  • Collaborate with all members of the clinic team to ensure daily operational success.
  • Monitor and maintain clinic supplies, inventory, and equipment as needed.

About you

We are looking for a compassionate and professional Front Office Associate who:

  • Can multitask while keeping up with high patient volumes
  • Has excellent verbal and written communication skills for patient outreach
  • Has strong organizational skills and attention to detail
  • Can work independently as well as participate in team problem solving
  • Strong leadership skills
  • Proficiency and experience using Google Workspace
  • Passionate about patient care and Millie’s mission and values
  • Located in San Jose, CA

Qualifications

  • 1-3 years of experience in a patient care setting
  • 1-3 years of leadership or management experience a plus
  • Minimum of 1 year experience working in Women’s Health/OBGYN setting (preferred)
  • Strong knowledge of billing and insurance questions
  • Proficiency in computer technology such as navigating different internet browsers and using multiple software systems simultaneously
  • Ability to work independently
