Tonies USA is seeking a highly skilled and tactical Executive Assistant to support our North American General Manager. This role requires a proactive and organized individual who can handle a fast-paced environment and manage a variety of tasks with precision. This position is expected to work ~4 days per week in our Central Boston office.
Responsibilities:
- Manage and maintain the executive's complex calendar, scheduling meetings, appointments, and travel arrangements.
- Coordinate and plan domestic and international travel, ensuring seamless logistics for a globally traveling executive.
- Handle confidential and sensitive information with discretion.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for consideration and presentation by the executive.
- Liaise with internal and external stakeholders, acting as a gatekeeper and point of contact.
- Organize and coordinate executive team meetings, including preparing agendas and minutes.
- Oversee special projects and initiatives as directed by the General Manager.
- Assist in the preparation of financial statements, invoices, reports, memos, letters, and other documents.
- Act as a strategic partner to the GM, proactively helping to prioritize time, meetings, and critical business decisions.
- Coordinate across global leaders to ensure cross-functional alignment and consistent follow-through on initiatives.
- Prepare high-level briefs, agendas, and executive summaries for key leadership forums and decision-making bodies.
- Track actions, commitments, and follow-ups across the Leadership Team and global stakeholders to ensure accountability.
- Lead and facilitate key meetings as needed, including All-Hands, Omnichannel Sales reviews, and Leadership Team check-ins, keeping the group on task and focused.
- Manage the end-to-end planning and execution of major executive events, including Leadership Offsites, Market Visits, and organizational town halls.
- Develop and design complex presentations and strategic documents that clearly articulate the leader's goals and business strategy.
- Monitor and manage the leader’s to-do list, ensuring all tasks are completed and deadlines are met through persistent follow-up.
- Receive and synthesize input from other departments, ensuring the leader is briefed on what is needed and that all departmental requests are addressed.
- Serve as a feedback loop for the organization by relaying employee or coworker insights to the leader and suggesting actionable improvements.
Qualifications:
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently and prioritize tasks effectively.
- Proficient in Microsoft Office Suite and other relevant software.
- Experience in handling a globally traveling executive is highly desirable.
- Ability to maintain a high level of confidentiality.
- Familiarity with Google Suite and Slack preferred

This role requires up to 4 days per week of onsite support in our Boston, MA office. Relocation will not be provided for this role and residence within a responsible commutable distance will be assessed as part of our interview process.
